Everything you need to send letters directly to vendors

The DTV Letter Campaign Manager is integrated with:

  • Your Lead Generators

  • Your Sourcing Pipeline

  • The On Market Quick Search

  • The Address Look Up Database

This setup enables you to send letters from anywhere, making the process seamless and efficient :)

The system is designed to save you time and help you reach as many motivated sellers as possible.

The ultimate goal of sending letters is to establish "Contact" with Property Owners via phone or email. Once you've made contact, you can remove the property from the letter sending process.

Below is a step-by-step guide to set up your Letter Campaign Manager and start sending letters today.


1. Set Up Your Preferences

In your Preferences you can manage the following:

  • The phone number you want to be contacted on

  • The email you want to be contacted on

  • The Company Logo you want to appear in the top right corner of the letter

IMPORTANT: These contact details are exclusively for the letters and will not affect invoices or account management. They are will be displayed on the letter only.

Keep in mind that the goal is to reach the property owner / vendor, so it's important to adapt to their preferred method of communication. Some vendors may prefer contact via phone, while others may prefer email.

Steps to set up Letter Preferences:

  1. Click on the DTV Settings Button.

  2. Enter the email address you want to be contacted at.

3. Enter your phone number.

4. Click on the plus sign to upload company logo from your PC.

5. Click SAVE to update your preferences.


2. Letter Designs

Our letter designs are crafted to be simple and straightforward. We've provided multiple templates to help you achieve the best results.

There are 3 options when creating your letter design:

  • Ready-Made Property Filter Template.

    • These are pre-designed letters created by our team, drawing on the experiences of top Property Investors and Sourcers.

Based on studies and feedback from experienced investors in the UK, we've found that your response rate increases with the number of letters you send. The optimal strategy is to send 4 letters, with a 2-week gap between each one, to maximise your contact rate while minimising costs.

That's why all Property Filter Ready-Made Templates include 4 batches :)

  • Re-using Saved Templates

    • Whenever you create a new template, you can access it later to make another version if needed.

  • Creating a letter from scratch.

On the main dashboard of the DTV Letter Campaign Manager, you will see:

Steps to create new designs:

  1. Click on Add a new Batch Design.

2. Select an existing template or create a new one.

3. Set Up Quantity and Timing

a. Click the plus or minus sign to adjust the interval between letters.

b. Click on the plus sign to add more letters or the minus button to remove letters.

4. Click on Next.

5. Enter the template name and click on SAVE.

3. Creating New Campaigns

Once your letter preferences are set up and letter designs are created, you're ready to launch new campaigns.

Steps to create a Campaign:

  1. Click on Create a New Campaign.

2. Enter a Name the campaign.

Click Next to proceed to the Design step.

Select your preferred letter design and click SAVE.

4. Add Properties to Your Campaign.

-> Steps will be explained in the following section.

As part of our Launch Special Offer, each letter costs £0.99 + VAT.

Once the properties are added, the cost of the next batch will appear on the right.

5. When you are ready, click on "Send and Review".

6. Review or edit the delivery dates. If the campaign is ready, you will pay for the first batch using the credit card on file.

To update your payment method,

go to Account Settings and then Invoicing to add a new one.

7. Click Pay Now.

And then the Draft Campaign will become Active.


4. Add Properties to Campaign (From Lead Generators)

After setting up your Letter preferences, design, and campaign, it's time to add properties to your campaign manager.

To do this, simply follow these steps:

4.1 - Go to your Lead Generator and click Check Leads.

4.2 - Select the properties you want to add to the letter campaign, or you can select all properties at once by clicking the Select All button.

Only properties with a validated address (✅) can be included in a letter campaign.

You can manually validate a property address by following these steps:

  1. Go to the property’s details page.

  2. Click on the Validate the Property Address button.

  3. Select the correct property from the list.

  4. Click Select to save it.

Once validated, this property can be added to the letter campaign.

If you have information that the landlord’s current address differs from the property address, you have the option to Change Delivery Address. This is found just below the DTV Letters Generator.

For this example, the landlord’s address is 4 Birchfield Road, Coventry CV6 2BN. After entering the postcode in the search bar, select the correct address. This will replace the letter's delivery address with the landlord's current address.

4.3 - Click the Send Letter button, and you’ll be prompted to select a campaign from the drop-down menu.

Or create a new one by following these steps:

  • Click Create New Campaign.

  • Enter a name for the campaign.

  • Choose a letter design and click Save.


5. Add Properties to Campaign (Sourcing Pipeline)

  1. To add properties from your pipeline, click the Sourcing Pipeline tab located on the left-hand side of the platform. Then, click the message icon to send the property to the direct to vendor campaign

2. Select your preferred campaign. If needed, you also have the option to create a new campaign. Once you've made your selection, click Save.

3. To select all the properties in your sourcing pipeline, simply click on Select All, then click Send Letter.

6. Contact Made

After the property owner contacts you, record their details and any relevant information about the property.

You can also select Show Details for the property. From the property details page, click on Contact Made to record the interaction.
